Billing Terms

These Billing Terms and Conditions govern all financial transactions made through the DefineDesk website (definedesk.com). By placing an order, you agree to the terms outlined below.

1. Payment Authorisation

By submitting an order on DefineDesk, you confirm that:

You are the authorised holder of the payment method used, or have explicit permission from the holder to use it
The payment details you provide are accurate and complete
Sufficient funds or credit are available to cover the full order amount

Payment is authorised and captured at the time of checkout. Submitting an order constitutes a binding agreement to pay the total amount displayed, including any applicable VAT.

2. Accepted Payment Methods

We accept the following payment methods:

Visa, Mastercard, American Express
PayPal
Apple Pay & Google Pay
Shop Pay

All transactions are processed in British Pounds Sterling (GBP £). If your payment account is held in a different currency, your bank or payment provider may apply a conversion fee — this is outside DefineDesk's control.

3. Pricing & VAT

All prices displayed on DefineDesk are inclusive of UK VAT at 20%. The final amount charged will match the total shown at checkout, with no additional fees applied by DefineDesk.

If you require a VAT invoice, please contact us at support@definedesk.com with your order number and VAT registration details.

4. When You Are Charged

Your payment method is charged at the time your order is placed and confirmed. You will receive an order confirmation email as proof of payment.

If payment fails at checkout, your order will not be processed and no charge will be applied. You will be prompted to retry with an alternative payment method.

5. Order Cancellations

Orders may be cancelled within 12 hours of placement, provided they have not yet entered the processing or fulfilment stage. To request a cancellation, contact us immediately at support@definedesk.com.

If your order has already been dispatched, it cannot be cancelled. In that case, you may return the item in accordance with our Return & Refund Policy once it has been delivered.

6. Refunds & Reimbursements

Approved refunds will be issued to the original payment method used at the time of purchase. Please allow 5–10 business days for the refund to appear on your statement, depending on your bank or payment provider.

DefineDesk does not issue refunds in the form of cash, cheque, or alternative payment methods unless the original payment method is no longer available.

7. Chargebacks & Payment Disputes

If you believe an unauthorised charge has been made, please contact us first at support@definedesk.com. We will investigate and resolve the issue promptly.

Initiating a chargeback without first contacting DefineDesk may delay resolution. We reserve the right to dispute chargebacks where evidence of a legitimate, fulfilled order exists.

8. Fraud Prevention & Order Verification

To protect our customers, DefineDesk uses automated fraud detection tools. We reserve the right to:

Place orders on hold pending additional identity or payment verification
Cancel orders that trigger fraud alerts, with a full refund issued

If your order is placed on hold, we will contact you by email within 1–2 business days.

9. Promotional Codes & Discounts

Discount codes must be applied at the time of checkout and cannot be applied to completed orders. Promotional pricing is subject to availability and may be withdrawn at any time without prior notice.

Only one discount code may be used per order unless explicitly stated otherwise.

10. Governing Law

These Billing Terms and Conditions are governed by the laws of England and Wales. Any disputes arising from a billing issue shall be subject to the exclusive jurisdiction of the courts of England and Wales.

Your statutory rights as a UK consumer are not affected by these terms.
